Privacy policy.
How we collect, use and protect your personal information, and the rights you have over it.
1. Who we are
COVA is the trading name of COVA MEDIA LTD, a company registered in England and Wales under company number 17424541. Our registered office is 33 Highmeres Road, Leicester, LE4 9LZ, United Kingdom. In this policy, “COVA”, “we”, “us” and “our” refer to this business.
We are the controller of the personal information described here, which means we decide how and why it is used. You can contact us about this policy or your information by emailing covamarketing2@gmail.com.
2. What this policy covers
This policy explains how we handle personal information when you visit cova-marketing.co.uk, send us an enquiry, or contact us by email or phone. It does not cover other websites we link to.
3. The information we collect
When you send an enquiry through our website form, we collect your name, your phone number (if you give it), your email address, your trade and the towns you cover, and what you need help with — along with anything else you choose to include. We also record the date and time it was sent.
Please don't include sensitive information in your message, such as health details or financial account information. We don't need it to reply.
When you email or call us, we collect your contact details and whatever you tell us.
When you visit our website, our hosting provider automatically records limited technical information in server logs to deliver and protect the site. This includes your IP address, browser and device type, the pages requested and the date and time.
We do not use analytics, advertising or tracking cookies. See our cookie policy.
4. How we use your information, and our lawful basis
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry, understand what you need and, if you ask, prepare a proposal or quote | Legitimate interests: responding to people who contact us and running our business. If you contact us as an individual or sole trader about a service, it is also taking steps at your request before entering into a contract. |
| Keep a record of our correspondence, so we can follow up and deal with any questions or disputes | Legitimate interests: keeping accurate business records, and establishing or defending legal claims |
| Run our website securely and prevent spam, abuse and technical faults | Legitimate interests: keeping our website and systems secure and working properly |
| Meet our legal obligations, such as tax and accounting records if you become a client | Legal obligation |
Where we rely on legitimate interests, we have considered your interests and rights and believe our use is proportionate and what you would reasonably expect. You can ask us for more detail, and you can object (see section 9).
We will not add you to a marketing mailing list because you sent us an enquiry. We do not make decisions about you based solely on automated processing, and we do not profile you.
5. Who we share your information with
We do not sell your personal information. We share it only with:
- Service providers who act on our behalf, and only under our instructions:
- website hosting: Netlify, Inc. (USA)
- form handling: Netlify Forms, run by our website host Netlify, Inc. (USA), which stores enquiries until we delete them and emails them to us. Submissions are checked for spam using Akismet (Automattic Inc.).
- email and business tools: Gmail (Google LLC)
- Professional advisers, such as our accountants, lawyers or insurers, where needed.
- Authorities, regulators or law enforcement, where the law requires us to.
- A buyer or successor, if our business is sold or restructured. They would have to use your information in line with this policy.
6. International transfers
Some of our service providers store or access information outside the UK, including in the United States. Where this happens, we make sure appropriate protections are in place: UK government “adequacy” regulations (for example, for the European Economic Area, or for US organisations certified under the UK Extension to the EU-US Data Privacy Framework), or contract terms approved for UK transfers (the ICO's International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses). Contact us for more information or a copy of the relevant safeguards.
7. How long we keep your information
- Enquiries that don't lead to work with us: 12 months after our last contact, then deleted.
- If you become a client: for as long as we work together and 6 years after that, to meet legal, tax and accounting requirements and to deal with any claims.
- Spam or abusive submissions: deleted promptly.
- Server logs: kept by our hosting provider for its standard period.
8. Keeping your information secure
We use appropriate technical and organisational measures to protect your information, including access controls and encrypted connections (HTTPS), and we only use providers who commit to protecting it.
9. Your rights
You have the right to:
- access the personal information we hold about you and get a copy of it
- correct information that is inaccurate or incomplete
- erase your information in certain circumstances
- restrict how we use your information in certain circumstances
- data portability, where it applies
Your right to object. Where we rely on legitimate interests, you can object to our use of your information at any time. Tell us and we will stop, unless we have compelling grounds or need it for legal claims. You can always object to direct marketing, and if you do, we will stop.
To use any of these rights, email covamarketing2@gmail.com. It is free. We will respond within one month — this may be extended by up to two further months for complex requests, and we'll tell you if so. We may need to confirm your identity first.
10. Complaints
If you're unhappy with how we've handled your information, please contact us first so we can try to put things right. We will acknowledge your complaint within 30 days, look into it without undue delay, keep you updated and tell you the outcome.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: online at ico.org.uk/make-a-complaint, by phone on 0303 123 1113, or by post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
11. Do you have to give us your information?
No. But we need at least your name and email address to reply to an enquiry.
12. Cookies
See our cookie policy.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
